Can I forward meeting invitations to my organisation email address?

Modified on Thu, 30 Oct at 9:33 AM

You can forward the following meetings to your organisation email address so that you can see the invitations in your organisation email address:

  • Formal panel meeting invitations (those sent by the REF Delivery team)
  • Any meeting set up by panel advisors, (any meeting set up on or after 10 October 2025)

You can set-up a rule to automatically forward these (see below).

However, you must log on to the REF Hub and open Teams to join a virtual meetingYou cannot join the meeting from your organisation calendar.

All official REF meetings will be sent by the REF Delivery team.
  • You can forward these to your own institution email address but not to any other address.
  • Do not forward official REF meetings on to any additional recipients (either externally or within the REF Hub). Contact admin@ref.ac.uk if you need to add any additional attendees.

To forward one invitation:

  • Open REF Teams, and select the Calendar option in the left-hand menu
  • In your calendar, navigate to the meeting you would like to forward, and double-click on it
  • In the window that opens, click on the forward arrow in the top menu, it will be beside the Delete option
  • Type in the external email address you would like to forward the meeting to, and press Enter
  • Next, click the Send button, and the meeting invitation will be forwarded to the email address specified

To set up a rule to automatically forward all invitations from Delivery team or panel advisors:

Postmaster message

Once you have forwarded an invitation you may get a bounce back message like this - you can ignore this.
